Privacy Notice

1. Who we are
AcquireOS is operated by Justin Whitaker (trading as "AcquireOS"), an independent sole proprietor. In this notice, "we", "us" and "our" refer to Justin Whitaker. For any privacy questions, contact us at privacy@aquireos.com.
We are the data controller for the personal data we process about users of the AcquireOS website and application at aquireos.com.
2. Personal data we collect
- Account data — name, email address, and login credentials.
- Profile & workspace data — deals, pipeline notes, uploaded documents, and any content you save inside AcquireOS.
- Usage data — pages viewed, features used, monthly quota consumption, timestamps, and referrer.
- Device & log data — IP address, browser type, device identifiers, and error logs.
- Support communications — messages you send us by email or in-app.
- Billing metadata — subscription tier, plan, renewal status. Card details are collected and stored by our reseller, Paddle, not by us.
3. How we use personal data
- To create and maintain your account (contract performance).
- To provide the AcquireOS product and enforce plan limits (contract performance).
- To improve the product, debug issues, and prevent abuse (legitimate interests).
- To respond to support requests (legitimate interests / contract performance).
- To send transactional emails such as receipts and security notices (contract performance / legal obligation).
- To comply with legal, tax, and accounting obligations (legal obligation).
4. Legal bases
Where GDPR or UK GDPR applies, we rely on the legal bases above: performance of a contract with you, our legitimate interests in operating and improving AcquireOS, compliance with legal obligations, and, where relevant, your consent (for example, non-essential cookies).
5. Who we share personal data with
- Paddle — our Merchant of Record for all purchases. Paddle receives billing and customer data required to process payments, manage subscriptions, calculate and remit taxes, and issue invoices and refunds. See Paddle's privacy notice.
- Infrastructure providers — hosting, database, and email delivery vendors that process data on our behalf under contract.
- Analytics & error monitoring — providers that help us understand usage patterns and diagnose issues.
- Professional advisers — accountants and legal counsel where necessary.
- Authorities — where required by law, court order, or to protect our rights.
We do not sell personal data.
6. International transfers
Some of our vendors are located outside your country of residence. Where data is transferred out of the UK/EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
7. Data retention
We keep account and workspace data for as long as your account is active, and for a reasonable period afterwards to meet legal, tax and dispute obligations. Billing records handled by Paddle are retained per Paddle's policies and applicable tax law (typically 7 years). You can request deletion at any time (see below).
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict, or object to our processing of your personal data, and to data portability. You can also withdraw consent at any time where processing is based on consent. To exercise a right, email privacy@aquireos.com. If you are in the UK/EEA, you have the right to lodge a complaint with your local supervisory authority. We aim to respond within one month.
9. Security
We use appropriate technical and organisational measures — including encryption in transit, access controls, and least-privilege service credentials — to protect personal data. No system is perfectly secure; if you believe your account has been compromised, contact security@aquireos.com.
10. Cookies
We use essential cookies to keep you signed in and remember your preferences. We may also use limited analytics cookies to measure product usage. You can control cookies through your browser settings.
11. Changes to this notice
We may update this notice from time to time. Material changes will be highlighted in the app or by email.
